DUTIES AND RESPONSIBILITIES OF OFFICERS

Purpose.

The officers of the RMAUVSI Executive Committee are the President, Vice President, Secretary and Treasurer.  

President.

As chief executive officer, the duties of the President, in addition to those specified in the By-laws are:​
         To attend all Board meetings and the annual meeting
         To keep a notebook, in which all information pertaining to the position shall be kept.  This notebook shall be passed on to the new President.
         To prepare meeting agendas and mail or email them to members at least 5 days before a meeting.
         To represent the RMAUVSI at civic events
         To serve as an exoficio member of all committees.  

Vice President.

The duties of the Vice President, in addition to those specified in the By-laws are:
        To attend all Board meetings and the annual meeting
        To preside at all meetings in the absence of the President  

Secretary.

The duties of the Secretary are:
         To attend all Board meetings and the annual meeting
         To record minutes at all the meetings.
         To mail or email the minutes to all Board members at least 5 days before the Board meeting.
         To prepare and maintain a file of all minutes, meeting agendas, and other records from a meeting.
         To maintain and update the By-laws and policies with the help of a committee to be appointed by the President
         To monitor incoming mail and forward it to the proper office.  

Treasurer. 

As the chief financial officer of the Board, the duties of the Treasurer are:
         To receive all monies due the Foundation, properly account for them, and deposit all funds in federally insured bank accounts.
         To pay all bills of RMAUVSI and properly account for them, subject to the authority limitations specified in the Authorizations paragraph of the Fund Allocation Policy.
         To arrange for an annual audit of the RMAUVSI’s financial records by a Certified Public Accountant or by appointed committee as is needed.
         To execute and submit to the Internal Revenue Service a properly completed IRS Form 990, no later than the 15th day of the fifth month following the end of the fiscal year. (as required)
         To execute and submit annually to the Colorado Secretary of State a properly completed Corporate Report on forms furnished by the Colorado Secretary of State. (ID# 20101288648 see www.sos.state.co.us)
         To serve as Chair of the Endowment Fund Committee (as required)
         To prepare annually a draft budget for the ensuing year and submit it to the Executive Committee for action at the February meeting
         To maintain an inventory of the tangible assets of RMAUVSI
         To perform such other duties as normally devolve to the office of Treasurer.
